How Forms controls access
Forms checks every form route against your organization and every management action against your role.
- Draft, Published, Closed
- Drafts can be edited and previewed but have no share link. Published forms accept responses. Closed forms take no new ones and keep their responses and CSV export for admins.
- Only admins create forms and read responses
- Any organization member can open the Forms list. Creating, editing, previewing, publishing, sharing, reading responses and exporting are reserved for organization admins.
- Open or per-recipient links
- Share an open link with its QR code, or recipient-specific links that identify each respondent unless anonymous responses are allowed.
- Only submitted responses are counted
- Summaries, individual views and CSV exports count submitted responses. Progress a respondent saved without submitting is left out.
- Uploaded files download only for admins
- Uploaded files download only for signed-in organization admins. Each download is checked against its form and response, not the link.
- Respondents reach event forms through the event
- You administer an event’s form in Forms. Respondents reach it through the event, not a generic share link.
